Your budget will support an average of 23 participants per week, including coordinators, scientific advisors, and short-term visitors. Each participant, organizers included, shares an office with one other visitor. We generally have many more applicants for participation in our various activities than we can possibly accommodate. Thus, it is essential that you verify that space is available before recommending invitations, even to people who require no financial support. You have space for an additional 5 graduate student (or junior postdoc) affiliates per week. They must be nominated by their advisors and have more stringent stay length requirements than full participants; see the Affiliates section below for more details.
One or two of the 23 participants per week may be short-term visitors (those participating for less than three weeks). These are often speakers, like experimentalists, observers, or others who can make a big impact but can only partcipate for one or two workweeks. Speakers must remain as program participants at least 24 hours beyond the time of their seminar. Should you have two short-term visitors in a single week, one spot is designated for someone whose family obligations prevent a longer visit. Our hope is that this will help you recruit a more diverse group of participants. Your program's Diversity Coordinator should monitor these needs and work with co-coordinators to allocate them.
Short-term visitors must visit for a full work week or longer in order to be eligible to stay in the residence. Because short-term lodging is more expensive than long-term, short-term visitors receive a larger housing allowance if they need to stay outside the residence. As with regular participants, travel is not automatically awarded but may be requested by the participant.
A typical 12-week program make 70-80 invitations, depending on average stay length and number of cancellations.
