TO MEMBERS AND VISITORS OF KITP

This booklet contains information pertaining to the KITP that we hope will be helpful to you during your stay. Please take a moment to familiarize yourself with our operation, particularly with our security system. Thank you.

KITP SECURITY - The main entrance to the KITP is located on the west side (Eng I, MRL) of the building. This door, and several of the other doors, is equipped with a key card reader. On weekdays from 8 a.m. to 5 p.m. you can enter through any door without using your key card. However, after 5:00 p.m. on weekdays and at all times on weekends and holidays, you must enter the building through the main entrance or one of the other doors with a card reader. You must also exit through one of these doors, and you must use your key card to re-enter. DO NOT use any of the unmonitored doors after 5:00 p.m. on weekdays or at any time on weekends or holidays. If you do, YOU WILL SET OFF THE ALARM.

Rooms on the first floor are equipped with security screens on the windows. If the screen contact is broken an alarm will sound. DO NOT REMOVE ANY FIRST FLOOR WINDOW SCREENS. It is also very important to close your windows and lock your door when you leave your office for the day.

PARKING - Parking permits are required whenever parking on campus, Monday-Sunday, 7:30 AM - 10:30 PM, and are available from the Parking Services Office, Building 381, located on Stadium Road across the street from the football stadium. Please be aware that daily parking rates are costly, $8/day, so if you plan to drive to campus regularly, you should definitely invest in a long-term permit. All Institute members are eligible for an "A" (Faculty) parking permit. (Parking Services will check for your name on the KITP directory to verify your eligibility). There is a parking structure very close to our building where you can park once you have your permit. The Parking Services staff can give you a map and directions to this, the Lot 10, structure. You may also take advantage of Pay By Space if you wish to park in the structure for just a short time upon arrival, or if you require a short-term permit after hours when Parking Services is closed.

COMPUTER FACILITIES - The KITP computing environment is based on UNIX and provides an OS X workstation for visitors. Each office is also equipped with ports for laptops, although our support of laptops is limited to assisting with their connection to the network. COMPUTER TERMINAL ROOM - The Computer Terminal Room is located upstairs in room 2202. You must use your key card to enter this room on weekdays from 5:00 p.m. to 8:00 a.m. and at all times on weekends and holidays.

CHECK CASHING - Personal checks can be cashed for a nominal fee at the Cashier's Office in the University Center (UCen) from 9am-4pm. To cash a check issued by UCSB you need only a photo ID.  Two I.D.s are required to cash a personal check: a picture I.D. such as a driver's license, and a copy of the KITP Directory with your name on it that proves you have a valid campus connection. If you have difficulty, please ask for the manager.

REIMBURSEMENT - If you are receiving reimbursement for local expenses and/or travel, please see one of the bookkeepers as soon as possible after your arrival. Julia Niessen (room 1112) will be able to assist or redirect you.

SALARY CHECKS - Paychecks normally are received on the first working day of each month. However, if your employment papers are delayed for any reason, your check also may be delayed. If this happens, please see Julia Niessen (room 1112) so that your check can be expedited.

TELEPHONING - To place a telephone call on the UCSB campus, dial the last four digits of the 7-digit number. To place a call off campus, dial 9, then the 7-digit number. To place a long distance call, dial 9-1-area code, then the 7-digit number. To dial direct overseas, dial 9-011-country code, then the local number. Due to limited funds, please limit your long distance calls to no more than $30 per month. Please discuss the need for any exceptions with the Deputy Director or the MSO. A log sheet for your use in keeping track of your long distance calls is attached to this booklet. When the Institute receives its phone bill, the KITP staff will ask you to identify those calls which are personal or unrelated to KITP business and to reimburse the Institute for those calls. NOTE: visitors often find that the long distance rates for the campus, especially for Canada, are high. Based upon your phone needs, you may want to consider purchasing a phone card.

FAX MACHINES - The Institute fax machine (805-893-2431) is in the mailroom, and is available for your use 24 hours a day. Any incoming faxes that you receive will be placed in your mailbox. A second fax machine (805-893-3378) is located in 1102. Faxes may be sent from this machine on weekdays between 8:00 a.m. and 12:00 noon and between 1:00 p.m. and 4:45 p.m. Please note that the staff does not consistently monitor this fax machine.

COPY MACHINES - There main copy machine is located in the downstairs copy room. There is a smaller copier upstairs in room 2005 that can be used for small jobs. This machine has an access code which can be obtained from a staff member. If you have a large copy job, please see the Visitors' Assistant Keith Kie to determine whether it should be sent out for copying. Personal copying is 5 cents per page.

MAIL - The mail room can be opened with your perimeter key. Mail is received and sent out once each day at approximately 8:15 a.m. Fed Ex items usually are received and picked up throughout the day, but all requests for pickup must be phoned in before 3 p.m. Professional mail should bear the KITP return address and the name of the sender. The University requests that personal mail, even though it is stamped, not be mailed through the campus mail, but rather be placed in a U.S. mailbox. There is a mailbox across the service road on the west side of the KITP by ENG I and the MRL and a U.S. Post Office downstairs at the University Center.

KITP LIBRARY - This library contains the following journals: Physics Reports, Review of Modern Physics, Nature, Physics Today, Science, Scientific American, and a miscellaneous collection of reference books. All other journals are available online. All of the materials may be taken freely from the Reading Room for copying and immediate return. Books and journals may be checked out for one day only, following the procedure outlined in the notices in the library.

UCSB LIBRARY - The UCSB Library houses its physics collection in the Sciences/Engineering section which is located on the second floor of the two-story portion of the building. Library cards are issued at the Library Circulation Desk near the west side entrance. Several card-activated copy machines are located on the second floor of the Library, and KITP members may obtain copy cards from the Visitors' Assistant in Room 1232.

CAMPUS FOOD - A current schedule of the campus food facilities is available near the Main Seminar Room.

COFFEE/TEA - Coffee and tea are available for a contribution of $10 for stays of 3-4 weeks.  For ongoing stays, the rate is $10 per month. For any length stay of less than 3 weeks, the rate is $5. Please pay your coffee/tea dues to Viena Zeitler in Room 1508. Cookies are served in the Commons Room at 3:15 p.m. every day except Tuesdays during the school year. The kitchen must be maintained by all who use it. Accordingly, please help keep the kitchen neat by cleaning up after each coffee and meal preparation.

ESPRESSO - The espresso machine is located in the Commons Room on the first floor. Espresso is available at 75 cents per cartridge from Viena in room 1508. The coffee/tea dues do not cover espresso.

BOTTLED WATER - Bottled water is available for a $2 per month contribution and is located on the second floor. However, there is no charge for bottled water if you already are paying coffee/tea dues. Please DO NOT use the bottled water for making regular coffee.

SOCIAL EVENTS - The KITP usually sponsors four social events each year: a fall picnic, a holiday season party, a spring whale watching trip, and a spring picnic.

BUSES/Santa Barbara Guides - Bus schedules, bike path maps, dining guides, etc., are available in the throughway by 1219.

TRAVEL DURING INSTITUTE STAY - If you leave the KITP for more than one day, please inform the Visitors' Assistant of your itinerary, including phone numbers. For absences in excess of one week, advance arrangements should be made with the Director. Please note that reimbursement for living expenses may be prorated to account for any length of absence.

GUESTS - If you are a host to seminar speakers or other visitors at the KITP, please inform the Visitors' Assistant when your guests arrive so that we can keep a record of all visitors to the Institute. Most offices are already shared, so it may not be possible to offer desk space.
 

MEDICAL CARE - If you do not have local health insurance and require medical care, you may seek medical services from the following resources:

SMOKING - The University has a "No Smoking" policy for all interior space. If you smoke, you must do so outside, at least twenty feet from any doors.

BEACH TAR - Because the beaches are so quickly accessible, many Institute members take advantage of them. During certain times of the year, however, tar is deposited on the sand. If you have been to the beach, please check your shoes (or feet) to make sure tar is not carried back into the building. It is very difficult to remove tar from the carpet and chairs.

***DEPARTURE INFORMATION***

RETURN SHIPPING EXPENSES - The Institute will provide up to $40 in shipping expenses to return your scientific papers to your home institution (if mailed through the KITP). Please box and address your papers and give them to the Visitors' Assistant (Room 1232) for mailing. Flat rate boxes, as well as information about how many the mail allowance covers, are available in room 1232.

TECHNICAL MANUSCRIPTS - Any manuscript for which the KITP's facilities are used, and any research which is started and/or completed at the KITP should have the following acknowledgment: This research was supported in part by the National Science Foundation under Grant No. PHY05-51164. Manuscripts also should be assigned a KITP report number. Please email Reports and one will be issued to you. If you are posting the paper to the arXiv, please send us the number that is assigned to it so that we can fetch a copy of the paper for our files and establish a link to it from our web page. If you do not post to the arXiv, please be certain that we receive a copy of the paper.
 

ACTIVITY REPORT - Please write a short report that discusses your scientific activity while at the KITP.  Include some description of the nature of your work, any collaborations, especially any new interactions, and the titles and authors of any completed papers.  If you complete a paper after you leave the KITP, please email this information to Reports to let us know, and we will send you a KITP report number.

KEYS, CUPS, EMAIL - Please remember to return your keys, keycard, and mug when you leave the KITP. Please peel your name off of the mug and place it in the dishwasher. The keys should be sealed in an envelope with your name on it and put into the return tray in the mailroom, office 1233. (If that door is locked, the black key will open it.) KITP library books should be returned, as well.

Email: While you were here, mail sent to your KITP email account (cookies!) was automatically forwarded to your home account. To disable the forwarding of KITP messages to your home email address, please Log into your KITP email account; Click on the "Sorting/Rules" icon at the top of the page; Uncheck the "Redirect All Mail to:" box, then click on the "Update" button (just below the "Sorting/Rules" icon); If successful, you should see a line reporting: "Rules Updated". Click on the "Log Out" icon at the top, right of the page to quit your session. ** If you have difficulties, forgot your password or have any other computing/email questions, please email help.

STAFF ASSISTANCE

Visitors' Assistant: Jennifer Thomas, room 1232, welcomes visitors at the reception desk, helps with supplies, faxes, express mail, etc.

Programs: Timber Kelley, room 1231, orients new arrivals, enters all information into our database, handles academic appointments and visas, is the assistant to the MSO, and is the KITP benefits representative.

Financial: Julia Niessen, room 1112, processes travel and per diem reimbursements and provides overall financial coordination.

Conferences: Jocelyn Quick, room 1103, provides all administrative coordination, including speaker reimbursements, for conferences.  Also prepares the weekly seminar schedule and orients and reimburses program speakers.

Housing: Monica Curry, room 1108, helps visiting members find housing and assists with conferences.

Mini-Programs/Workshops: Andrew Wardlaw, room 1102, provides the administrative coordination for short programs, assists with reimbursements for other programs, and provides backup for the conference coordinator. Also provides administrative support to the Permanent Members.

Special Assistant : Viena Zeitler, room 1508, provides administrative support to the Director and the Deputy Director.

Events: Charmien Carrier, room 2330, assists with special events and the Friends of the KITP.

Systems Administrator: Craig Kunimoto, room 2102, assists with system operations and provides oversight to the helpdesk.

Computing: Shaun Drong, room 2111, assists with general computing issues and provides database support.

Webmaster: Elda Schaffield, room 2107, maintains the KITP website.

Student Assistants: Andrew Fischer & Venzel Hammershaimb, room 1102, assist with general office tasks and help maintain the KITP Reading Room.

Student Computing Assistants: David Ferril, Michelle Nguyen, & James Young, room 2202, assist with general computing issues, record seminars, etc.

Information Systems Director: Kevin Barron, room 2307, oversees the information systems operations at the KITP. From daily operations to long-range planning, any issues arising in the I.S. domain can be addressed to Kevin.

Management Services Officer: Deborah Storm, room 1512, is the overall manager and supervisor at the KITP.  Deborah works with the Director and Deputy Director on Institute matters, and can assist you with any policy concerns or problems that may arise regarding your stay.
