Long Program Addendum

This Addendum applies to those programs lasting longer than 4 weeks.

Salary Support

In rare appropriate circumstances, the Institute can provide partial salary support for long-term visitors. Budgetary limitations, however, restrict the number of people to whom this can be offered to one or two people at most, and it is usually reserved for program coordinators as needed. In order to make maximum use of our resources, we ask visiting members to provide as much of their own salaries as possible. The response to this request has been very satisfactory, and the KITP traditionally has needed to provide very little salary replacement.

In those instances when the Institute does provide a salary supplement, it may also be possible to provide some reimbursement for local expenses. The amount of this reimbursement varies widely depending on personal circumstances. Although documentation of lodging expenses is required, this allowance is not classified as income for tax purposes.

Conferences

If you will host a conference in connection with your program, it will be administered separately with its own budget for inviting speakers. Please consult the conference policies.

Supplemental Support for Families (Family Fund)

For families staying for four weeks or longer, there is the possibility of supplementary financial assistance from the Rice Family Fund.

Information for Program Participants

Everyone who is invited to the program will be sent information that will help with planning a visit.  You should familiarize yourself with this site so that you understand what your participants are being told and to help you plan your own visit.


Addendum: Programs in Biological Physics

In addition to the information above, please note:

Length of Visits

Visits by theorists of fewer than three workweeks are discouraged, although we will in some cases allow a number of two-week visitors if there are good scientific reasons to do so.

Speakers

The presence of a substantial contingent of experimental biologists is crucial to the success of biological physics programs, and we realize that they often cannot stay for longer than one week. At a minimum, they should stay at least one day beyond the day of their seminars in order to have an opportunity to interact informally with others.

In addition, biological physics programs are permitted two additional one-week visitors each week, beyond the quota of 23 regular participants. Please check with the Deputy Director before inviting additional one-week visitors to determine whether there will be sufficient office space.

Affiliates

In biological physics programs, unlike most other programs, KITP is often able to provide limited financial support for local expenses for affiliates from special grants for this purpose.  The amount is less than the per diem amount for senior participants.  We occasionally allow graduate students to attend even without their advisors, although arrangements are made for another participant to serve as an ersatz mentor.  Preference however is given to those whose sponsors are long-term visitors, and the visit of an affiliate is generally restricted to coincide with some part of the sponsor’s stay at the KITP.  We expect the affiliate’s airfare to be paid by the sponsor or home institution.
